Who we are

Train Like A Pro (“we”, “us”) is operated by Train Like A Pro Ltd, a company registered in Scotland (company number [company number]), registered office [registered office address]. TLAP® and Train Like A Pro® are Registered Trademarks (No. UK00004372850).

We are the data controller for the personal information described here, and we are registered with the UK Information Commissioner’s Office (ICO) under registration [ICO registration number]. Our data-protection contact is privacy@trainlikeapro.co.uk.

Who this applies to

Our players (academy members, many of whom are children aged 11–17), their parents and guardians, and our coaches and staff. If you are under 13, please read this with a parent or guardian.

What we collect and why

• Account details (name, email, date of birth) — to create and run your academy account. Lawful basis: performance of our contract / legitimate interests.
• Profile photo (optional) — so coaches and teammates recognise you. Lawful basis: consent.
• Wellness check-ins (sleep, soreness, mood, exertion), physical measurements (height, weight, sprint times) and sport-psychology notes — to look after your welfare, training load and development. This is health information (special-category data). Lawful basis: explicit consent, given by a parent/guardian for younger children.
• Attendance, goals, skills self-assessments and coach feedback — to plan and track your development. Lawful basis: legitimate interests.
• Messages and comments you write, and parent/guardian contact details — to communicate with you. Lawful basis: legitimate interests.

We only process health information where you (or, for younger children, a parent/guardian) have given explicit consent, which can be withdrawn at any time. We do not use your data for advertising, we do not sell it, and we do not use it for automated decisions that have a legal or similarly significant effect on you.

Payments

Membership and session fees are handled by TeamFeePay under their own privacy terms. We share only what is needed to bill you.

Who we share it with

We use trusted providers who process data on our behalf under contract:

• Our software provider, which builds and hosts the TLAP portal and app;
• A secure database and file-storage provider (hosted in the UK);
• A web-hosting provider for the portal;
• Notification providers, to deliver alerts to your phone (the only personal data involved is your name);
• An email provider, to send account emails;
• TeamFeePay, for payments.

Where a provider processes data outside the UK, we ensure an appropriate safeguard is in place (such as the UK International Data Transfer Agreement or an adequacy decision). We may also share information where we are legally required to, or to protect a child’s safety (safeguarding).

How we protect it

Access is controlled so that each player sees only their own information. Data is encrypted in transit and at rest, files are stored privately, and access to sensitive records (such as psychology notes) is restricted to the specific staff who need it. All our coaches are PVG-scheme members and UEFA-licensed.

How long we keep it

We keep your information for as long as you are a member, and for a limited period afterwards, after which it is deleted or anonymised — except where we must keep certain records longer by law.

Your rights

You (or your parent/guardian, if you are a child) can ask us to:

• see the information we hold about you;
• correct it if it’s wrong;
• delete it;
• limit or object to how we use it;
• receive a copy to reuse elsewhere;
• withdraw consent at any time (for the health information above).

To exercise any of these, contact privacy@trainlikeapro.co.uk. You also have the right to complain to the ICO (ico.org.uk, 0303 123 1113), though we’d ask you to come to us first so we can help.

Changes

We’ll update this policy when our practices change and note the date at the top.
